Keeping Track of Your Workforce During the 'Holiday Season'
How do you keep track of who within your workforce is going to be away…and when?
This is a challenge most business owners / managers regularly face but particularly through the summer when ‘holiday season’ presents operational issues for many businesses; at Peninsula we are constantly looking at ways in which our services can help deal with these types of challenges and BusinessWise presents one such solution.
In the last edition of The Bottom Line Express we identified the advantages of using the fantastic EmployWise Absences tool - this feature can also really help you to be pro-active in the management of those absences your employees are entitled to take – the most obvious of which being their holiday entitlement.
Using BusinessWise to record when members of staff are on annual leave is a simple data entry process and in doing so our users are able to take advantage of a range of useful features:
Each week, BusinessWise automatically generates an alert message, based on the data entered, to identify holidays which are due to be taken during the subsequent week. As a pro-active reminder it helps to ensure that cover arrangements or other contingency plans can be put into place. This feature is about ensuring that there is an opportunity to address any issues that the absence of team members from your workforce on holiday may cause.
In addition to this, the EmployWise Reports feature includes a number of helpful management information reports which allow holidays booked or already taken to be easily identified either by individual, by department or across the company as a whole. These include the Absence Calendar report which gives an at-a-glance, colour-coded summary of all absences taken by an individual over the current calendar year. We have also developed, on the basis of client feedback, a brand new report which will make forward-planning even easier. The practical Absence Planner report, to be released late June 2009, presents information for a group of employees for a set time period. This means it is easy to understand who within your workforce is absent at any given time, and will make decision-making on granting, or indeed denying, holiday requests a quick and easy process.
Using BusinessWise to log the holiday booked by your workforce also allows you to keep track, on an individual basis, how much of their entitlement each employee has booked and accordingly how many days of entitlement are remaining. This is viewed via each Employee Record and provides an at-a-glace summary of entitlement.
All these features are uncomplicated, easy to access and simple to use and yet are of immense help to our clients giving valuable assistance in the ongoing challenges of managing a workforce taking legitimate, legally entitled time away from work.
